JOB SUMMARY In partnership with the Chief Executive Officer, the Director of Administration oversees Iliuliuk Family and Health Services (IFHS) strategic and grant initiatives, working closely with relevant internal and external stakeholders as needed to ensure successful outcomes and strong stewardship of all IFHS resources.

Duties:
This position will function as a member of the Iliuliuk Family and Health Services (IFHS) Leadership team, providing strategic thought partnership to the CEO for the direction and prioritization of all new and current IFHS initiatives, as well as full-cycle grant management and support for federal, state, and local grants and contracts awarded to (or sought by) IFHS.
In alignment with the IFHS Mission, Vision and Values, the Director of Administration will Support, design and execute of IFHS strategic projects and initiatives, along with the CEO, ensuring goals are clear and measurable, and plans are integrated across all domains of the organization.
This includes leading key work streams and initiatives as needed to strengthen the effectiveness and efficiency of organization-wide processes and systems.
Help to track progress to facilitate continuous improvement and accountability in key performance areas for IFHS, such as budget, quality and compliance, as well as support progress toward longer-term financial and operating targets.
Conduct periodic status reviews of organizational goals and objectives to identify roadblocks to progress.
This includes responsibility for collaborating with the CEO and other leaders to identify organizational strengths and weaknesses, identifying and mitigating risk and redundancy, as well as conducting regular environmental scans to identify opportunities and threats that could impact the organization's ability to achieve its objectives and serve the Mission.
Support change management and stakeholder communications/engagement to ensure the organization and community members understand, support, and are inspired by the various initiatives within the IFHS strategy.
This includes engaging with internal and external key stakeholders to identify needs, as well as gather input and buy-in for relevant initiatives.
Function as point person for full cycle grant management, supporting systems for pre-application decision making, research, acquisition, award execution, grant management and closeout.
Functions as a subject matter expert on all grants awarded to (or sought by) IFHS.
Provide organizational support in maintaining positive working relationships with funding entities' grant project officer(s) and ensuring IFHS is in compliance with the full spectrum of guidelines, conditions, and other regulatory considerations associated with major funding or revenue sources.
ESSENTIAL DUTIES AND RESPONSIBILITIES Strategic Thinking and Problem-Solving Maintains awareness of emerging trends and best practices in population health and health service delivery and supports internal and community-level analysis of relevant needs as appropriate.

Reviews financial statements to identify trends in expenses and revenue sources.
Recommends changes or adjustments to current strategies based on new insights and relevant market information.
For CEO identified strategic priorities, works with relevant stakeholders to identify funding strategies that could include public grant revenue from various streams, earned income, and legislative directed funding from the state and federal governments.
Ensures regular review of key areas for compliance and provides support to leaders as needed to ensure necessary resources are available to ensure alignment with relevant regulations and other compliance criteria.
Measuring and Monitoring Supports organizational use of data to inform decision-making.

Supports development and management of the multi-year IFHS strategic plan, as well as monitoring progress and periodically updating the plan, under the direction of the CEO.

Develops tools to communicate strategic plans and concepts to leadership.
Manages major organizational initiatives and workstreams as required, which may include leading cross-functional teams to address emerging needs; designing and implementing new processes or systems; or leading and implementing organizational change.
Manages and/or supports projects to enhance strategic and administrative support as needed.
Provides project management support for bringing together cross-functional teams to develop and move forward initiatives that implement the IFHS strategic plan.
Grants Management Collaborates with the CEO to understand strategic agency priorities, seek out public funding opportunities to meet the priorities, and summarizes potential funding opportunities as they present themselves to the CEO.
Builds understanding of grant funding opportunities that IFHS is eligible for and creates a pipeline that allows staff to consider opportunities and compare them to the business and mission needs of IFHS.
Supports a standard process by which IFHS staff members may identify and evaluate grant opportunities and present them to the CEO for a recommendation of whether to apply.
Identifies key components of the grant application, conducts meetings with stakeholders, assigns and tracks work responsibilities including support of any needed Board approval, facilitation of external partner support, assistance with narrative and budget development, and other needed staff support/partnership, in response to Requests for Proposals (RFPs).

Generates (or identifies practices to generate) regular financial reporting to key stakeholders of the grant.
Tracks expenses against awarded grant budgets and recommendations to staff and Leadership regarding expenses and grant deliverables, as well as recommending any needed budget adjustments.
Ensuring grant revenue is exhausted within the project period in a manner that best supports the objectives of the grant.
Maintains all relevant grant documents in accessible, accurate and timely electronic files.
Ensures proper storage in accordance with IFHS document retention policies following close out.
Files include:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster.
